Since 1972, Orlando Orthopaedic Center has remained independently owned and has grown to include 25 orthopaedic specialists across multiple subspecialties, many of whom are recognized leaders amongst their peers nationwide.

We have seven Orlando Orthopaedic Center locations throughout Central Florida, plus a state-of-the-art outpatient surgery center at the heart of our downtown campus located in the trendy SoDo Shopping District just south of downtown Orlando.

As the Professional Service Department at Orlando Orthopaedic Center continues to expand, we are hiring a Conference/Depo Scheduler. It is beneficial for candidates to have at least one year of scheduling experience in a medical office. A candidate best suited for this role has the ability to work in a fast-paced department while navigating complex situations. Must also exemplify strong verbal and written communication skills. Collaboration and teamwork are at the heart of all we do in our department!

JOB SUMMARY: Coordinate the trial operations of the Professional Services department ensuring tasks are completed effectively and efficiently including, but not limited to: scheduling appearances, communicating with physicians and attorneys, preparing charts, invoicing, and collecting payments for trial. Responsible for ensuring all trial related preparatory work is completed within the required timeframe.

EDUCATIONAL REQUIREMENTS:

  • High school diploma required
  • Bachelor’s degree preferred

QUALIFICATIONS AND EXPERIENCE:

  • At least 3 years of work experience required (medical, workers compensation, legal)
  • Proficient using email and word processing software
  • Ability to perform multiple and diverse tasks simultaneously
  • Extreme attention to detail required
  • Neat, professional appearance
  • Strong written and verbal communication skills
  • Ability to identify problems, problem solve, and resolve conflicts
  • Ability to perform well in a stressful situations a
  • Efficient, organized follow through on commitments

Responsibilities include, but are not limited to, the following:

Trial Coordinator Responsibilites

  • Maintain the trial calendar
  • Coordinate physician appearance to testify at Trial
  • Ensure documents have been obtained, prepared, and/or completed accordingly for trials
  • Maintain detailed knowledge of Florida laws and statues encompassing trials
  • Generate invoices for trial related professional services approximately 4 weeks in advance
  • Follow-up on pending trial payments and outstanding balances on trial cases to ensure that prepayment is received prior to rendering services
  • On the day of the trial, ensure physician has the chart/records, that they are aware of the location, and communicate with them regarding any and all issues
  • When necessary, escalate any trial issues to the Professional Services Supervisor/Manager
  • Review and respond to incoming correspondence in a professional and timely manner
  • Respond to Attorney/Client complaints and escalate to upper management when necessary

Business Relations

  • Build and maintain relationships with local Attorneys and their staff
  • Build and maintain relationships with the physicians and their teams

General Adminstration

  • Maintain patient confidentiality; adhere to HIPAA and compliance guidelines established by the practice
  • Maintain detailed knowledge of practice management, electronic health record and other computer software as it relates to job functions
  • Complete all other duties as assigned by the Professional Services Manager

Typical Physical Demands
Position requires extended sitting, some standing, bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment is also required. Employee must have a normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Position requires viewing a computer screen and typing for long periods of time and working in an environment which can be very stressful.
